1. Agreement to Terms
By accessing or using the Cocktails & Canapes website and services, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, you may not access our website or use our services.
2. Market Conditions
This proposal is not a final invoice and is to be treated as an initial estimate of the requested services. Cocktails & Canapés reserves the right to make adjustments and correct any errors due to fluctuating market conditions. Including but not limited to the price of products, rentals, labour and relevant supplies. Cocktails & Canapés will review the current market conditions 30 days in advance of the event date and will correct any pricing discrepancies.
3. Tastings
Cocktails & Canapés offers tastings based on our availability. Tastings are available to clients whose event total exceeds $10,000. Please note, tastings may not be an exact representation of event day food production as we reserve the right to substitute any ingredients due to menu revisions, product quality, availability and current market pricing. Tastings are a $400 fee, plus applicable taxes, must be paid in full and in advance of the tasting date. Cocktails & Canapés can accommodate up to 4 guests in the tasting room located at 686 Powell Street. Should the client decide to proceed with Cocktails & Canapés for said event, the $400 tasting fee will be reimbursed and shown as a credit on the final invoice 7 business days post event.
4. Custom Requests
Custom menu requests or dishes that are not a part of the current menu offering will be reviewed by the Chef department to ensure the vision can be properly represented for both parties. Custom menu development may be subject to an additional cost.
5. Allergy Disclaimer
Cocktails & Canapés makes a significant effort to accommodate clients with food allergies. Please note, there is always a risk of cross contamination as the kitchen is not a “free of” facility. All allergens must be submitted to Cocktails & Canapés no later than 10 business days prior to the event. The specific dish and allergen will be evaluated to ensure the integrity of the specific dish can be upheld while produced in a safe environment. Cocktails & Canapés assumes no responsibility or liability for adverse reactions to foods consumed or foods that an individual has come in contact with at any event catered by Cocktails & Canapés.
6. Photography & Video
Cocktails & Canapés reserves the right to use photographs and/or video of clients and guests during an event for promotional, marketing, branding and advertisements.
7. Special Occasion License
A Special Occasion License (SOL) or Special Events Permit (SEP) are required in British Columbia by the event organizer or host (i.e., individual, organization or business) to sell or serve liquor in a location that is not a private residence, private place or licensed establishment. Cocktails & Canapés carries a Catering Liquor License and is able to obtain an SOL or SEP on behalf of the clients only when supplying all of the alcohol for the event. If the client chooses to provide their own alcohol, any permits required by the venue will be solely the client’s responsibility.
8. Rental Items
Cocktails & Canapés reserves the right to manage rental needs required for the event. Rental organization and specification are crucial to the success of an event and any mistakes in rental orders can have irreparable consequences to on-site execution. All items rented on the client’s behalf by Cocktails & Canapés are the responsibility of Cocktails & Canapés. Cocktails & Canapés will cover all missing and/or broken items up to $50.00. Missing or broken items over $50.00 will be reflected on the final invoice and the client’s responsibility. Please refer to the “Market Conditions” section for pricing policies.
9. Drop off/Delivery Orders
To secure a delivery service with Cocktails & Canapés, a full, non-refundable payment is required in advance of the event date. Once full payment is received the order is confirmed. The order quantity cannot be decreased after confirmation. Any outstanding details must be finalized 10 business days prior to the event date.
10. Staff
Proposed labour charges are to be considered as an estimate. Cocktails & Canapés requires staff that are hired and trained by Cocktails & Canapés to ensure the quality of service is held to the utmost standards set by management. All on-site events require an On-Site Chef and an On-Site Manager to be the main point of contact to the respective departments and the client. Staff hours will remain as proposed on the confirmed contract unless staff are required to stay on-site longer than quoted to complete the requirements. In the event that staff depart earlier than scheduled, the adjustments will be reflected on the final invoice.
11. Payment Policy
To secure your booking with Cocktails & Canapés, we require a non-refundable 50% deposit. An additional, non-refundable 25% payment is due 10 business days prior to your event. The remaining 25% will be billed and processed within 7 days post event. We accept Interac transfer, cheque, bank transfers and all major credit cards. Please note, a 2.4% credit card processing fee will be added to the total bill for all credit card payments. If the preferred payment method is cash, cheque or direct deposit, the 2.4% credit card processing fee will be removed.
12. Service Charge
Cocktails & Canapés charges an 18% service charge. This fee covers all administrative hours spent and costs associated with each event.
13. Final Confirmation
A meeting 1 month prior to the event is required by Cocktails & Canapés in order to ensure all parties are aligned. This meeting will focus on confirming any outstanding details, reviewing the timeline and overall production schedule. It is required that the external planner or day of coordinator is in attendance. All event details, including but not limited to guest count, menu choices, allergies, timeline must be confirmed 10 business days prior to the event. Any adjustments not confirmed within this time period may or may not be accepted by Cocktails & Canapés.
14. Intellectual Property
All content on this website, including text, images, logos, and designs, is the property of Cocktails & Canapes and is protected under Canadian copyright law. You may not reproduce, distribute, or use any content without prior written consent.
15. Governing Law
These terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein. Any disputes arising from these terms shall be resolved in the courts of British Columbia.
